Job Description

Our client, an internationally recognised practice is looking for an Office Services Assistant on a 12 month fixed term contract to help with the provision of services across their London Office. The role will involve assisting in the day to day operations, liaising with internal clients and service partners and ensuring the business is well supported. The position will report to the Office Services Supervisor and is covering the 12.00pm to 8.00pm shift. Flexibility required for change of shift hours and occasional paid overtime available.

Specific Duties

  • Responding to Facilities Help Desk Requests as appropriate and dealing with them in a timely manner
  • Sorting and delivering internal and external mail to relevant departments
  • Preparing all outgoing mail, DX, Royal Mail and occasional by hand
  • Dealing with the firms banking
  • Dealing with UK and international courier requests
  • Dealing with all supplier deliveries
  • Completing all photocopying requests as instructed, including binding and laminating requests
  • Stock control of stationery
  • Regular checks on all copiers ensuring toners and paper levels are replaced
  • Setting up meeting rooms or conference suites for internal and external meetings and events
  • Providing assistance with all internal office moves which involves heavy lifting of furniture, crates, boxes and documents
  • Conducting weekly fire alarm tests
  • Assisting with the records management function including the return and retrieval of boxes from storage
  • Daily floor checks, noting and reporting any maintenance issues
  • Carry out minor maintenance tasks (putting up hooks, changing light bulbs, hanging artwork, tightening / fixing handles)

    Experience

    • A minimum of 1 years experience from with a legal or professional services
    • REPROGRAPHICS experience essential
    • Experience within a facilities related background in a large office space
    • Awareness of Health and Safety legislation
    • Good working knowledge of MS Office Word, Excel and Outlook
    • Awareness of the importance of client confidentiality and information security
    • Manage assigned tasks in an assertive, efficient, professional and timely manner
