Job Description

We are looking for an experienced Regional Facilities Manager with retail experience to provide a first class service to this property management company's clients and their occupiers for a portfolio of retail properties in Central London and the South East. The candidate must have experience of managing retail properties as well as experience of multi-tenant properties including service charge budgets. Excellent Health and Safety knowledge with IOSH is essential. Company car provided.

The Role

  • Responsibility for the provision of facility management services to the designated properties in accordance with Customer Agreements, Specifications and KPIs
  • Lead, manage and motivate suppliers and contractors to deliver appropriate service levels and value for money
  • Monitor budget expenditure, working closely with the relevant Property Manager
  • Establish positive working relationships with tenants
  • Carry out regular property inspections and instruct any remedial works as required
  • Liaise with onsite Building Managers and other staff.
  • Ensure Health and Safety compliance by all suppliers
  • Monitor internal systems e.g. QUOODA and Meridian and ensure performance statistics are maintained at the required level
  • Assist the Property Manager in the production and regular monitoring of service Charge budgets and expenditure
  • Code and authorise supplier invoices
  • Oversee the delivery of common area services, leading and directing others as required to achieve this to an appropriate standard
  • Review contracts on a regular basis to ensure value for money, preparing specifications and tendering contracts
  • Ensure Procurement is carried out in accordance with company policies and procedures
  • Work with the Surveyor for the property, ensuring service charge budgets are prepared on time and in accordance with the agreed service level for the client
  • Through regular inspections, ensure that tenants are complying with their repairing and maintaining obligations, acting as the eyes and ears of the client
  • Instruct contractors to carry out works


  • BIFM qualification or equivalent
  • Demonstrable experience in site/facilities management as applicable in the Managing Agent environment
  • Experience of looking after a retail portfolio
  • Experience communicating with a wide range of colleagues at all levels and with external stakeholders and contractors
  • Knowledge of health and safety regulations and best practice affecting site management
  • Full working knowledge of relevant codes of practice/legislation including the Service Charge Code of Practice
  • Excellent interpersonal skills
  • Ability to plan and prioritise own workload and manage conflicting demands
  • Qualified to IOSH level is essential
  • Experienced in Microsoft packages to at least intermediate level
  • Degree level qualification desirable
  • Good knowledge of the FM practices employed by our main competitors desirable
